In this role you will be responsible for day to day website and digital development for both European and North American offices, supported by our internal team and third party agencies. You will work closely with our Head of Digital and Digital Marketing Executive to translate UX design work into attractive responsive HTML, take ownership and optimise the online product designer, continuously optimise and improve existing code site wide and suggest/lead new code and digital initiatives.

Job Description

The role will be reporting into the Finance Director, but is a full logistics support role and you will need to be able to manage a full workload and work on your own initiative.

Hours of Work: Monday to Friday, 8:30 – 5:30 (40 hrs per week)

Main Responsibilities: 

Track inbound International and Domestic shipments from overseas and UK factories with Freight Forwarders:

  • Liaise with suppliers and freight forwarders to arrange shipments / flights from overseas
  • Follow up with suppliers ahead of time to make sure our shipments ship on time.
  • Manage and update shared tracking documents for details of expected Goods In
  • Follow up on short shipped or delayed inbound orders
  • Creating International Commercial Shipping Documentation
  • Trouble shoot and resolve shipping delays (Customs Hold, Lost Packages, etc.…).
  • Obtain commercial invoices from suppliers, ensure they are completed correctly and use these to update internal tracking systems and documents.

 Process Outbound Shipments Domestically and Internationally:

  • Obtain spot quotes for shipping of large orders to customers
  • Arrange outgoing international deliveries to overseas customers, particularly US
  • Prepare outgoing commercial invoices for international orders
  • Manage and review internal tracking sheets to ensure Goods Inward / Outward are on time
  • Obtain quotes and arrange Same Day Deliveries to customers
  • Liaise with couriers for goods in transit, e.g. late orders, change delivery address
  • Track goods in transit to customers and contact customers if deliveries will be late
  • Arrange collections from customers for returns
Manage Costs and Appraise Supplier Performance
  • Review Same Day Courier invoices for appropriateness and compare to charges recovered
  • Advise sales of delivery costs for specific customers
  • Review supplier invoices to ensure charges are in line with agreed rates
  • Obtain credit notes from suppliers for failed or damaged deliveries
  • Source and trial new same day couriers
  • Conduct account review meetings with courier companies
  • Perform supplier service assessment and comparability
General Admin Tasks:
  • Manage Logistics inbox
  • Previous experience in an operational logistics role is highly advantageous
  • A professional, flexible, proactive and enthusiastic approach to work with excellent attention to detail
  • Have the ability to prioritise tasks and deal with them in a timely manner.
